Suggestions for the purchase of books and other materials should in every case be made by contacting the staff of the Information Services Desk. Before submitting a recommendation, you should always check the Online Library Catalogue, to see if the item is already part of the Library collection. Recommendations for new material must have the consent of both the Vice Principal of Information Services and the General Director of the College. 

Who can Recommend

Students and Administrative staff
The suggestions from students and Administrative Staff of the College for items the Library should purchase, are welcome. However, for a variety of reasons not all items recommended can be purchased and some titles may be passed on to the relevant Academic Staff for consideration. If you have any queries or special requirements please contact the Information Services Desk.

Academic and Library staff
Recommendations for material that the Library should purchase are accepted, both by fulltime and part-time members of the academic staff. Priority is always given to material suggested for teaching purposes and to items included in the reading lists of the courses. The Academic Staff must first inform, the Head and Course Administrator of their department for all material suggested to be ordered and then contact the library. The Library Staff on the other hand, has the responsibility to keep each department updated concerning the status of material orders. 

The staff of the library may also suggest material to be acquired, by keeping record of subject categories that were heavily used during the academic year and seemed to have a lack of resources.



Non-Subscription Material


This category refers to items that do not require a continuing payment such as, books, videos, cassettes, audiobooks and CD's.

Download the appropriate recommendation form  and send it completed to the Library. Please include the following information on every recommendation form:  

§ full bibliographic details of the material being recommended 
§ name and department 
§ source of information 
§ whether you wish to be placed in the reserve section or to be available for loan 

Alternatively, you may request that we send you the form electronically and return completed recommendations to library@city.academic.gr, as e-mail attachments. 

Requestors are notified when the items arrive at the Library or if orders are cancelled, for example, in case the item is out of print or stock, or if it is already held by the Library (additional copies may be ordered if required). 

To assist the Library to meet budget commitment deadlines, please submit order requests regularly throughout the year and, where possible, prior to the beginning of September.

Urgent recommendations
If the book is required urgently, mark this on the recommendation form but please remember that not everything can be acquired urgently and there is often an additional cost to the book fund for this service. Unless urgent, we will endeavour to obtain books from the cheapest source.

 


Subscription Material

A subscription item is the one which requires a continuing payment such as, journals, newspapers, databases.

As subscriptions require continuing payment, and as the prices rise more rapidly than the cost of books, allocating funds to new subscriptions need to be carefully considered. 

Please note that most subscription periods correspond to the calendar year, so when an order is placed, it will be for the following year's volume or issues. If the current year's issues are also required, you should notify the library staff, so that back issues are ordered as well.

Since subscriptions are paid in advance, recommendations for new subscriptions should be received prior to the beginning of January.


Reserve and Short Loan Collections

All main textbooks and references included in the Syllabi of courses, are items placed at the Reserve and Short Loan Collections of the Library. Items ordered for these collections, are automatically treated as urgent. The Course Administrator of each department is responsible for providing a compete list of textbook orders, prior to the beginning of each academic semester. The course administrators are also responsible for providing the Syllabi of all courses to the Library in order to check the reading lists and place orders for that materials which are not held at the Library. Multiple copies are usually required for items included in the Syllabi.

In addition to the bibliographic details listed above, the recommendation forms for material for the Reserve and Short Loan Collections should include: 

§ module title 
§ number of students 
§ level 
§ semester 
§ total number of copies required to be held in the Library 

Instructor Supplements
Furthermore, those instructors who wish to acquire all accompanying Supplementary Material (e.g. test banks, instructor manuals,
PowerPoint transparencies, etc) for books that are adopted as textbooks, should notify the Library Staff, in order to contact the publisher's representatives and acquire the requested material in time to prepare for the course.

Books on Project/Tutorial lists
Lists of books (and other items) required as project or tutorial reading for students, should be sent to the Library Issue Desk (library@city.academic.gr), at least two weeks ahead. Items in stock will be placed on restricted loan. Depending on the number of copies in stock and the number of students taking the projects or tutorials, extra copies may be purchased. Items not in stock will be purchased. If no copies can be traced the instructor will be informed.


New Title Information

Information about new titles is sent from publishers and suppliers to the Library or direct to academic staff. It is also available online from various booksellers, publishers and library vendors.

Links to Internet publishers and bookshops are available in the Internet Resources option on the Library’s Web pages.

A relatively new site which is increasingly useful is Books for Academics.
